Migration Timeline & Cutover

Your migration will occur in phases:

  1. Pre-Migration Preparation
    • Mailboxes are created on the new platform
    • Initial data sync may begin
  2. Cutover (Switch to New Platform)
    • Your domain’s email routing is updated
    • New email begins arriving on Thexyz Email
  3. Final Sync
    • Any remaining messages are transferred

Important:

  • The exact cutover time will be communicated in advance
  • You may be able to log into the new webmail before all mail appears

Step 1: Access the New Webmail

You can log into the new platform here:

You may log into the new webmail before cutover, even if your email data is not fully visible yet.

Step 2: Prepare Your Devices

  • Do not remove your existing setup until cutover is complete
  • Prepare new configurations in advance where possible
  • Use Application Passwords for devices and email clients

Port: 993
Encryption: SSL

Outgoing (SMTP)
Server: smtp.thexyz.com
Port: 465
Encryption: SSL

Username: Your full email address
Password: Your mailbox password or Application Password

Step 4: Outlook Setup (Recommended)

If you use Microsoft Outlook:

  • Create a new Outlook profile (recommended)
  • Do not modify your existing profile

Guide:

Tips:

  • Hold CTRL when opening Outlook to select profiles
  • You can configure the new profile before cutover
  • Do not set it as default until cutover is complete

Step 5: Mobile Devices (iPhone / Android)

Mobile devices typically do not support multiple accounts for the same mailbox.

Recommended approach:

  • Wait until cutover is complete
  • Remove the old account
  • Add it again using the new settings

Remove account guides:

Step 6: Recreate Email Rules

Email rules and filters from Classic Email are not migrated.

Recreate them here:

Step 7: Optional Settings

Disable Notification Sounds:

  • Some messages may appear later during migration
  • Old and new systems may briefly appear out of sync
  • Email clients must be updated manually

Summary

  • Log into the new webmail early if needed
  • Prepare Outlook profiles in advance
