How to create email delivery rules in Webmail

Delivery Rules allow you to automatically process incoming messages based on conditions you define. You can use rules to move messages to folders, forward them to another address, or delete them.

Follow the steps below to create and activate a delivery rule.


1. Open Delivery Rules

  1. Log in to Webmail.
  2. In the top-right corner, click User Settings.
  3. Select the Delivery Rules icon.

2. Create a new rule

  1. Click the New Rule button.
  2. Enter a unique rule name (no spaces).
  3. Click Add Rule.

Your rule will now appear in the list.


3. Edit the rule

To configure how the rule works:

  1. Click the Edit (pencil) icon next to the newly created rule.

Each rule consists of two sections:

  • Conditions – What the message must match
  • Delivery Rules – What happens when a match is found

You can add multiple conditions and multiple delivery actions within a single rule.


4. Add a condition

Conditions determine which messages the rule applies to.

Click one of the following buttons:

  • New AND Condition
  • New OR Condition

You can match messages based on:

  • From
  • To
  • CC
  • To or CC
  • Subject
  • List-ID
  • Message size

Example condition

This example checks for specific text in the email subject:

  • Match Field: Subject
  • Condition: Contains
  • Negate match: No
  • Term: test subject

Click Add Condition to save it.


5. Add delivery actions

Once a condition exists, you must define what happens when it matches.

Available delivery actions include:

  • Deliver to a folder
  • Forward to another email address
  • Delete the message

Example actions

To forward matching messages:

  1. Click Deliver to E-mail.
  2. Enter the destination email address.
  3. Click Deliver.

To also keep a copy in the original mailbox:

  1. Click Deliver to Folder.
  2. Select the Inbox.

Multiple delivery actions can be added to the same rule.


6. Enable and activate the rule

Before the rule can work, it must be enabled and activated.

  1. Check the rule Status at the top.
  2. If it shows DISABLED, click it to change to ENABLED.
  3. Click Save Rule.
  4. Click the Activate button.

Important:
A rule will not take effect until the Activate button is clicked. Any time you modify conditions or delivery actions, you must activate the rule again.
